This is an opportunity for an organized and detail-oriented individual to join our team as an Administrative Assistant.
The successful candidate will be crucial in supporting our daily operations by providing administrative support across various departments.
This role requires strong communication skills and the ability to work effectively with team members at all levels of the organization.
You must be reliable, able to follow directions, be willing to ask questions, and have a can-do attitude.
Responsibilities & Duties:
• Screening and prioritizing phone calls, emails, mail, and guests.
• Greet clients and vendors when they come into the office.
Perform general clerical duties, including but not limited to filing both hard copies and digital copies, answering phone calls, responding to emails, and taking minutes for meetings.
• Scan, submit, and file receipts, invoices, purchase orders, etc.
for the accounting department.
• Schedule and maintain calendars using Microsoft Outlook.
• Assist with acquiring resort vehicle passes.
• Communicate with clients, vendors, subcontractors, and staff.
• Run errands, such as taking deposits to the bank and dropping off checks to vendors.
• Office inventory includes but is not limited to office supplies, lunchroom supplies, and restroom supplies.
• Ready to learn from on-the-job training.
• Be self-motivated – good at finding essential tasks on your own.
Qualification & Skills:
• Requires High Proficiency in Microsoft Office
• High school diploma or equivalent.
• Administrative Assistant/clerical experience required.
• Basic knowledge of construction terminology and processes is preferred.
• Adobe experience is a huge plus.
• Excellent written and verbal communication skills.
• Be punctual and dependable.
• Independently motivated, able to take on tasks and duties without immediate direction.
• Ability to keep a typical work schedule of Monday through Friday, 7:00 am to 3:30 pm.
• Must currently live on the Big Island of Hawaii.
• Must have dependable daily transportation with a valid Hawaii driver’s license.
