Job Title: Dental Referral Specialist
Supervised By: Director of Clinical Operations (Dental)
POSITION FUNCTION SUMMARY
Under the general direction and supervision of the Director of Clinical Operations (Dental), the Dental
Referral Specialist’s duties are in support of the mission, goals, and objectives of Hawaiʻi Island Community Health Center (HICHC).
The Dental Referral Specialist is responsible for the management of dental referrals including providing one-on-one guidance and assistance to patients as they move through complicated dental referrals.
The Dental Referral Specialist works closely with the Director of Clinical Operations (Dental) to develop, implement, and evaluate the dental referral process.
This position serves as a critical link between HICHC’s diverse patients and administrative and clinical staff in ensuring patients are provided the services they need to achieve and maintain good oral health.
ESSENTIAL DUTIES AND RESPONSIBILITIES This position may have various work assignments within HICHC.

Various duties, responsibilities and accountabilities may be assigned to an incumbent in this position depending on the specific job assignment, and may include but not limited to the following: Core Leadership and Management Duties Manages all aspects of the overall dental referral process.
In conjunction with dental leadership, develops, implements, and oversees a referral workflow that allows for reportable outcomes to close the loop on all HICHC dental referrals.
Develops working relationships with medical, dental and behavior health providers and support staff at HICHC with the goal of reducing barriers to care.
Develops working relationships with dental professionals throughout the state of Hawaiʻi to help ensure a smooth referral process for both on-island and off-island care.
Uses clinical experience and judgement in the application of procedures, techniques, and practices to assess patient needs.
Prioritizes patient referrals to correlate with managing patient flow for maximum efficiency and optimum care provision.
Coordinates referrals, prior-authorization, and follow-up with appropriate external resources.
Applies age-specific/cultural considerations to referral process.
Ensures patient/family satisfaction with referral services.
Develops and maintains tracking system for referrals to outside resources.
Manages changes in work demand during work-day.
Takes ownership of solving problems or issues of importance to patients, providers, and employees.
Works with minimal supervision, adaptability, and high tolerance for ambiguous work situations.
Demonstrates appropriate utilization of dental records to document care within scope of job duties.
Uses and documents interactions with patients in the computerized dental record to schedule and update patient information for providers and other health team members.
Implements, monitors, and complies with established company policies and procedures, providing recommendations for improvement when appropriate.
Promotes and supports the Patient Centered Medical Home (PCMH) primary care model.
Other responsibilities and duties as assigned.

Education and Experience High School graduate or GED certificate required.
2 years dental office management experience preferred.

Licenses and Certifications Valid Hawaiʻi driver's license, current auto insurance and a working vehicle required.
Knowledge, Skills and Abilities Ability and willingness to learn.
Ability and desire to uphold the mission of the Hawaiʻi Island Community Health Center.
Ability to establish and maintain effective communication with patients and coworkers.

Ability to follow verbal and written instructions.
Ability to prepare and maintain charts, records, logs, and reports.

Language Skills Ability to read and interpret documents such as government regulations and guidelines, patient records, operating and maintenance instructions, procedure manuals, etc.
Ability to write at a minimal level of professional competency, including internal reports and memoranda.
Ability to communicate with diverse groups of people to include staff and providers and patients.
Ability to communicate effectively with patients and their families to make their visit a pleasant experience.
Sensitivity to the multicultural nature of the service area population and provide language translation services to patients as needed.
