Clinic Operations Coordinator
JOB OVERVIEW: Provides analytical and administrative support East Hawaii Medical Group and East Hawaii Health Clinics.
ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:
Assist with the implementation, evaluation, and monitoring of Clinic Operations to include special projects; service line development; performance improvement; and other organizational-wide initiatives.
Compile, organize, analyze, and interpret large amounts of raw data from disparate sources.
Organize and analyze data using various techniques to look for correlations, patterns, trends, and shifts from established goals and benchmarks.
Work with various departments and leaders to develop centralized, standardized, and systematic processes for collecting, validating, storing, updating, and analyzing data sources to include ad hoc, Tableau, and SQL reports.
Assist in the development of automated and timely report deliveries.
Assist with staff education on new and existing standardized reports.
Prepare models using current and historically relevant data to perform predictive analytics about future performances.
Prepare timely reports that are current and validated prior to release.
Provide staff assistance and education on benchmarks, data sources, and analytical methodologies associated with custom reports.
Assist leaders in the development and/or selection of benchmarks, goals, initiatives, and strategies.
Compare organizational data representing standards of care; documentation; coding; expense and revenue; and productivity with federal, state, and local agencies as well as accreditation and benchmarking organizations.
Extract data from various federal and commercial sites to include MGMA, CMS, CDC, NCQA, and others.
Maintain current provider productivity and benchmarking data.
Ensure accurate and current productivity data is distributed to providers on a monthly basis.
Address provider concerns with data accuracy.
Maintain current fiscal year data on budgeted versus actual visit counts.
Maintain current data on Clinic Operation projects and plans; assist with performing workflow and process mapping; use Gantt; Ishikawa; PDCA; Kaizen; Kanban; and other tools and techniques to develop and track process improvements.
Prepare and update reports, policies, procedures, forms, and presentations.
Schedule, lead, and prepare agendas and minutes for meetings.
Maintain current list of staffing by location, position, and name to include their employed and clinical FTE status.
Update various departments on staffing changes.
QUALIFICATIONS:
Education:
Bachelor’s degree in Healthcare Administration, related field or equivalent.
Experience:
Two to four years healthcare administration experience; provider, healthcare, or referral management experience preferred.
Skills:
Advanced proficiency in various computer applications, e.
g.
, word processing, excel spreadsheet, e-mail, database management and presentation software.
Excellent communication skills including negotiation skills; must be persistent and persuasive.
Must be able to establish rapport and effective working relationships with providers and clinic administrators.
Must be able to prioritize multiple responsibilities and manage a large workload within tight deadlines.
Excellent problem-solving skills and self-motivation.
Ability to develop alternative solutions to problems; comparing and analyzing data; preparing clear, concise, thorough, meaningful, and grammatically correct written reports, letters, memoranda, and other documents.
Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions relating to assigned tasks.
Very strong customer service orientation, positive attitude, highly self-motivated, directed and change oriented.
