Kailani Tours Hawaii is seeking an experienced and detail-oriented Office Manager to join our team in Kailua-Kona.
The Office Manager will play a pivotal role in ensuring the smooth operation of our office and support various administrative functions critical to the success of our luxury tourism business.
This position reports directly to the Operations Director and provides essential assistance to the company owner as needed.

\*\**Responsibilities*:\*\*
1.
\*\**Procurement*:\*\*
- Manage procurement processes, including vendor selection, negotiations, and purchasing.
- Maintain supplier relationships and evaluate vendor performance.
- Monitor inventory levels and reorder supplies as needed.
2.
\*\**Payables*:\*\*
- Oversee accounts payable functions, ensuring timely and accurate payment of invoices.
- Verify and reconcile expense reports and invoices.
- Assist in budget management and expense tracking.
3.
\*\**Inventory Management*:\*\*
- Maintain accurate records of inventory levels and stock locations.
- Coordinate with relevant teams to ensure efficient use of inventory.
- Conduct periodic inventory audits and reconcile discrepancies.
4.
\*\**Permitting*:\*\*
- Assist in obtaining and renewing necessary permits and licenses.
- Ensure compliance with all regulatory requirements related to our operations.
5.
\*\**Financial Applications*:\*\*
- Provide administrative support for financial applications and software.
- Assist in data entry, report generation, and financial analysis as required.
6.
\*\**Coordination with Outsourced Bookkeeping*:\*\*
- Collaborate with our outsourced bookkeeping company to ensure accurate financial records.
- Provide necessary documentation and information for financial reporting and tax filings.
7.
\*\**Administrative Support*:\*\*
- Assist the company owner and Operations Director with various administrative tasks.
- Help organize meetings, maintain schedules, and prepare reports.
\*\**Requirements*:\*\*
1.
Bachelor's degree in Business Administration, Finance, or a related field (preferred).
2.
Proven experience (3-5 years) in office management or a similar role.
3.
Strong organizational and multitasking abilities.
4.
Proficiency in using office software, including Microsoft Office Suite and financial applications.
5.
Excellent communication and interpersonal skills.
6.
Detail-oriented with a high level of accuracy in all tasks.
7.
Strong problem-solving skills and ability to work independently.
8.
Knowledge of procurement processes, inventory management, and basic financial principles.
9.
Familiarity with regulatory requirements related to tourism and permitting in Hawaii (preferred).
10.
Ability to adapt to a fast-paced, dynamic work environment.
