*Primary Purpose* Assist in coordinating and tracking specific operational matters to achieve the goals and objectives of the program and the mission of the program.
*Essential Duties* ● Provide administrative support and assistance to the Manager and ʻOhana Support team; ● Coordinate and prepare materials for team meetings; ● Record and produce meeting notes from team meetings; ● Prepare and mail office expenditures; ● Assist ʻOhana Support Manager in the edits and printing of the program's curriculum; ● Complete program enrollment forms and assist with data for record tracking; ● Assist team in creating caregiver education resources; ● Conduct program orientation with newly enrolled families; ● Receive, tracks, and assist in monthly distribution of caregiver resources from partnering agencies; ● Assist in the ordering, organizing, and inventory of program supplies; ● Maintain enrollment and waitlist, keep accurate records of all participants; ● Assist in ordering, receiving and marking of team supplies.
*Other Duties* Other duties as assigned include, but are not limited to, completing all forms and documentation, such as reports related to grant objectives, professional development evaluations, data tracking systems and program materials.
*Work Hours* ● 20 hours per week, Monday through Friday, between the hours of 7:00 am - 4:00 pm.
Schedule determined by the manager; ● Position requires dependable, punctual and predictable attendance; ● Some events on evenings or weekends at various times.
*Working Conditions* * Primarily in the office; * Travel to the neighbor islands as needed.
*Equipment Use* Computer, printer, copier, scanner, telephone, voice recorder, laminator, shredder, calculator, and vehicle.
*Mental, Physical and Communication Demands:* Mental: ● Consistent adherence to the practice of Partners in Development’s (PIDF) five core values that are used as a guiding force in the success of all of its programs; ● Must possess strong organizational skills; ● Must be able to focus on multiple tasks, problem solve and meet deadlines; ● Actively demonstrate a commitment to support equity and inclusion, and serve as an advocate for colleagues, partners, and communities; ● Ensure work is thoughtfully completed, accurate, and error-free to the highest degree possible.
Physical: ● Must be able to lift and carry up to 40 pounds regularly; ● Must be able to sit at a desk 75% of the time.
Communication: ● Must exhibit courteous and professional demeanor toward program participants, staff and administration via verbal, written, physical, and electronic correspondence; ● Must possess strong interpersonal skills; ● Good oral and written skills required; ● Must be able to handle confidential material and maintain confidentiality.
*Minimum Qualification Requirements* *Required:* ● Associate degree in office administration and at least six months of clerical experience; ● Proficient in Microsoft Office including but not limited to Word, Excel, Publisher, and PowerPoint, Google Drive (Meetings, Docs, Sheets, Calendar), email, internet researching, and virtual meeting and/or teaching platforms; ● Access to a vehicle preferred, have a valid driver’s license, a safe and responsible driving record, and current no-fault auto insurance, with at least $100k in bodily collision per person and $25k in property damage liability.
*Preferred:* ● Knowledge of Hawaiian culture.
