*Purpose:* The School Administrative Services Assistant performs a variety of specialized duties in support of the maintenance of academic, behavioral, and health records, including student enrollment, registration, scheduling, grading, and transfers.
*Nature & Scope:* The School Administrative Services Assistant performs independent work of a regular nature under limited supervision.
The nature of the work requires adherence to policies, procedures, and regulations.
The incumbent performs a variety of administrative support duties of high complexity requiring knowledge of school operations; prepares correspondence using independent judgment in content and style; responsible for computer input and retrieval; must make a variety of decisions within a framework of established procedures; tasks are related to all administrative and school operations; must be detail-oriented, able to multi-task and collaborate with co-workers.
The incumbent interfaces regularly with students, administrators, teachers, and parents.
The work requires a high level of professional decorum, calmness, and the ability to serve as a role model to young people.
The work requires the handling of sensitive materials and a commitment to maintain the highest levels of confidentiality.
The incumbent will manage the administrative offices, have supervisory responsibilities for all administrative staff, and may provide training or direction to staff, students, and volunteers.
*Job Summary:* *Level I* This is the entry-level class in this series.
Although the incumbent of a position in this class generally has had little or no previous work experience in a school setting, the incumbent is experienced in the independent performance of general clerical work.
Such a position performs the administrative office services and support functions of a school while concurrently learning applicable policies, procedures, regulations, work methods, etc.
A position in this class initially receives close supervision and instructions and/or assistance from a higher-level school administrative services assistant located at a neighboring school for those situations that require knowledge of the school, Department of Education, and pertinent State rules, regulations, policies, and procedures.
*Level II* Serves as the chief administrative services assistant to the principal of a small elementary school with responsibility for coordinating, facilitating, and/or providing all of the required administrative services and support functions.
*Level III* Serves as the chief administrative services assistant to the principal of a moderate to large elementary school, a small to moderate intermediate school, or a small high school.
A position at this level may include the supervision of a clerical subordinate.
*Level IV* Serves as the chief administrative services assistant to the principal of a large intermediate school, or a moderate to large high school.
Such a position typically supervises one or more clerical subordinates.
*Minimum Qualification Requirements:* Applicants must meet all the requirements for the position they are seeking as of the date of the application unless otherwise specified.
Unless specifically indicated, the required education and experience may not be gained concurrently.
*Note:* Calculation of experience is based on full-time, 40-hour workweeks.
Part-time experience is pro-rated.
Example: Twelve months of experience at 20 hours/week is equivalent to six months of experience, not one year.
Also, hours worked more than 40 hours/week will not be credited.
Example: Twelve months of experience at 60 hours/week is equivalent to one year of experience, not one and a half years.
*To qualify, you must meet all of the following requirements:* *Education Requirement:* Graduation from high school and a Bachelor’s degree.
Excess general or specialized experience as described below or other work experience requiring the ability to read, comprehend, and apply written directions or a high degree of verbal skills may be substituted for education on a year-for-year basis.

2023 *General Experience Requirement:* Two (2) years of progressively responsible work experience which involved skilled typing using a typewriter or word processing equipment in performing a variety of standard clerical work such as typing of correspondence, reports, and other material; knowledge of English grammar, spelling, and arithmetic; use of common office appliances and equipment; the ability to read and understand oral and written instructions; carry out procedures in clerical work systems; speak and write simply and directly; observe differences in copy and proofread words and numbers quickly and accurately; operate various kinds of office equipment.
*Specialized Experience Requirement:* None for level I; one (1) year for level II; two (2) years for level III; and level IV, three (3) years of responsible clerical experience in a Hawaii public school setting in the capacity of chief clerical assistant to the principal.
Such experience must have involved the performance of administrative office services and support functions of a school and skilled typing.
*Skilled Typing Requirement:* Applicants must be able to type accurately (using a typewriter or word processor) from a plain or corrected copy at the rate of 40 net words per minute.
*Essential Job Functions:* 1.
Conducts oneself in the best interest of students, in accordance with the highest traditions of public education and in support of the school’s philosophy, mission, and vision.

Establishes and maintains computerized record-keeping systems, ensuring proper tracking and accuracy.
3.
Maintains and updates various types of files, logs, and records, both digitally and manually.
Respond to requests for such information as directed and make summary reports.
Performs statistical calculations and tabulations in accordance with established formulas and equations.

Prepares complex narrative and statistical reports.
Follows up on reports that require further action.
5.
Tracks student data related to public funding and oversees required state and federal reporting.
6.
Assists the Poʻokumu and/or Hope Poʻokumu with daily administrative services functions by planning, supervising, and/or providing office support and related services to meet priorities 7.
Supervising and/or participating in greeting and ascertaining the purpose of callers and assisting or referring them as necessary.
8.
Answering or referring inquiries on policies, regulations, procedures, and activities of the school, the Department of Education, and the State.
9.
Contacting parents, departmental offices, other governmental agencies, business concerns, and community groups for information required by the school or to disseminate information and secure cooperation.

Reviewing and distributing incoming correspondence, circulars, and other material.
11.
Composing routine and special letters.
12.
Informing the Poʻokumu and/or Hope Poʻokumu of matters requiring immediate attention and concerns relative to appointments, commitments, and deadlines.
13.
Establishing, organizing, and maintaining office files.
14.
Maintaining personnel records for the staff.
15.
Processing payroll and performing related work.
16.
Performs and supports general accounting and bookkeeping functions.

Collecting cash, maintaining a variety of fiscal records, and posting and summarizing financial data to report forms.

Preparing and submitting purchase orders and/or requisitions, checking goods received against invoices, and maintaining pertinent records.
19.
Maintaining inventory records, performing physical inventory, and completing report forms.
20.
Review, propose, and maintain all school vendors' contracts and services to ensure effective and efficient operations of the school.
21.
Assisting officers of student clubs and other class or school organizations with record keeping, purchases, etc.
22.
Gathering, maintaining, and compiling information for business office and student service reports.
23.
Operating and maintaining a variety of standard office machines.
24.
Typing letters, reports, schedules, bulletins, and other material.
25.
Cutting stencils, duplicating, and distributing a variety of materials.
26.
Serves as the key contact person and liaison between the school/department and other schools and district departments, staff, and the general public.
Coordinates the dissemination of school/department information as appropriate.
27.
Orders and prepares school or departmental materials and supplies, including processing purchase orders and ensuring receipt.
28.
Greets visitors and provides reception services including receiving and routing incoming phone calls.
29.
Provides confidential secretarial and support services for administrators, staff, parents, and students.
30.
Maintains effective working relationships with other members of the department as well as other school personnel and community members, including those from diverse cultures or backgrounds or those who speak limited or no English.

Complies with all procedures outlined in the _Code of Professional Conduct _and _Annual_ _Notices for Education Practitioners, Teachers, Support Staff, Administrators, Substitutes_ _Handbook, _and all other Hawaiʻi Department of Education School District Policies and Procedures.

Instructing, assigning, and reviewing the work of students assigned to the office.

Supervise all clerical personnel and provide training, support, and mentoring, as well as perform quarterly and/or annual performance evaluations.

The work requires regular focus on a computer screen and precise control of fingers and hand movements.
The incumbent must be able to sit, stand, and walk for long periods of time.
Bending, stooping, kneeling, and lifting up to 25 pounds may also be required on occasion.
